1. Introduction
GateVigil (referred to as “the App”, “we”, “us”, or “our”) is a smart security and guard patrol application. It is designed to assist security staff in logging gate entries, verifying visitors, and reporting incidents for residential societies and commercial facilities. We are committed to protecting the privacy and security of all users who download, install, and operate the App.
This Privacy Policy explains what information we collect, how we use it, and what controls you have over your data. By using GateVigil, you agree to the collection and use of information in accordance with this policy.
2. Information We Collect
To provide a secure and functioning environment, we collect several types of data:
a. User Account Profile Details
When a security guard or administrator is registered by their society, we store their Name, Email Address, Phone Number, Gate Designation, Employee Code, Shift timing, and Login credentials. This information is required for authentication and audit logs.
b. Camera and Media Library Access
The App requests permission to access the camera and photo library. Security personnel use this to capture and upload photographic evidence when logging incidents (e.g., parking violations, utility leaks, safety hazards).
c. Push Notification Tokens (FCM)
We collect and store Firebase Cloud Messaging (FCM) device tokens to deliver critical real-time alerts, patrol assignments, and emergency SOS broadcasts directly to the guard's device.
3. How We Use Your Information
We use the collected information to:
- Track, verify, and document patrol shifts and checkpoint completions based on user input.
- Dispatch assistance to the reported location block when an SOS or emergency alert is triggered.
- Log visitor entries at gates and cross-reference them with pre-approved society codes.
- Upload and attach photo evidence to reported security incident logs.
- Maintain historical security records for the society administration to investigate disputes or violations.
4. Information Sharing and Disclosure
We do not sell, rent, or trade your personal data. Your data is shared strictly under the following conditions:
- Society Administrators: Your shift logs, gate activities, and incident reports are visible to the authorized administrators and management board of your society.
- Legal Compliance: We may disclose data if required to do so by law, or in response to legal requests by public authorities.
5. Data Security and Retention
We implement industry-standard encryption and safety measures to prevent unauthorized access, alteration, or disclosure of user data. We retain account profile information for as long as your employment or contract with the society is active. Logs are periodically archived and automatically deleted or anonymized after a retention period specified by your society admin.
6. Your Rights and Data Deletion
You have the right to access, update, or request the deletion of your account profile details. To request account deletion or request that your historical activity logs be purged, you can contact your Society Administrator or email our support team at info@optimageeks.com.

We may update our Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the effective date.
