MeetFlow Extension

Last updated: October 2, 2026

Overview

MeetFlow is a Chrome extension by OptimaGeeks that transcribes meetings and creates AI notes. This page explains what data MeetFlow uses and where it goes.

What MeetFlow Reads

  • Meeting captions: On Google Meet, Zoom (web) and Microsoft Teams (web), MeetFlow reads the live caption text shown on the page, including speaker names.
  • Microphone audio (optional): If you click Start Recording and allow microphone access, MeetFlow uses Chrome's built-in speech recognition (Web Speech API) to turn speech into text.

Where Your Data Is Stored

Transcripts, notes, participant names, meeting history and settings are stored in your browser using chrome.storage.local. You can delete any meeting or clear all data from within the extension. Removing the extension also removes its stored data.

What Is Not Sent to OptimaGeeks

MeetFlow has no OptimaGeeks server that receives your meetings. Your audio, transcripts and notes are not uploaded to OptimaGeeks, and OptimaGeeks does not sell or monetise your meeting data.

Third-Party Services

  • Chrome speech recognition: In the optional microphone mode, Chrome may process your speech using Google's speech service. This is handled by Chrome and governed by Google's privacy policy.
  • Google Gemini (optional): MeetFlow's built-in summarizer runs on your device. If you enter your own Gemini API key in settings, the transcript text is sent to Google to generate the summary, under your key and Google's terms.

Permissions

MeetFlow asks for permissions only to do its job: opening the Side Panel, saving data locally, reading captions on supported meeting sites, and using the microphone or tab audio when you choose to record.

AI Accuracy

AI summaries can contain mistakes. Please review notes before sharing them.
